Description

The Multimedia Specialist is responsible for maintaining HOOPP's intranet site, designing and assembling its online internal (employee) newsletter, and maintaining the content of the Board of Trustees extranet site. The incumbent also assembles external (client) newsletters and acts as back up in maintaining HOOPP's public website, hoopp.com. The Multimedia Specialist may also be called upon to assist with any web and print related projects as needed.

Duties & responsibilities

Intranet site and internal newsletter

  • Maintenance and development of intranet site (i-site)
  • Keep the content and links on the intranet current, based on information provided by members of the Communications department and other departments
  • Write/update/proofread intranet copy as needed/requested, according to HOOPP's publication standards
  • Design graphics that support the messages being delivered on the site
  • Make minor improvements to the site in response to user feedback
  • Make all changes to the site using Dreamweaver (HTML) and upload (FTP) changes to the development server and the production site
  • Coordinate with IT any required programming
  • Ensure all new or revised content is properly approved and tested before posting to production site
  • Make recommendations on how to improve the site, including its navigation, content, and tools
  • Assist IT with configuration of web metrics and reporting
  • Working with IT, develop and maintain web metrics reports on site performance and activity to help determine how to improve the site and maximize efficiency/effectiveness
  • Develop and maintain content maintenance procedures
  • Maintain search collection by:
    • Ensuring only the most recent versions of all documents are stored within the collection
    • Ensuring documents have relevant properties for proper grouping and to provide easy-to-use search results
  • Design and assembly of internal bi-weekly HTML newsletter (Grapevine)
  • Ensure the newsletter is assembled and issued by the publication deadline, meeting established quality standards
  • Take photographs at organizational events, adjust photos for publication
  • Edit photos and design graphics as needed

Extranet site

  • Maintenance and development of the Board of Trustees extranet site
  • Maintain search collection by:
    • Ensuring only the most recent versions of all documents are stored within the collection
    • Ensuring documents have relevant properties for proper grouping and to provide easy-to-use search results
  • Further develop the site as required to meet the needs of the Trustees and the CEO Office

Graphic Design

  • Provide design services and graphics for various internal communications
  • Design/develop templates for internal HTML broadcast e-mails
  • Provide guidelines and support to other Communications team members in issuing HTML e-mails
  • Provide graphic design/visuals support for Office of the CEO and divisional presentations
  • Help maintain stock photo archive
  • Provide technical support to vendors as needed

Public Website (hoopp.com)

  • Handle overflow work from and serve as backup to the Lead, Web Strategist as needed including:
    • Posting updates to hoopp.com as needed
    • Serving as Business Continuity Plan backup

Research and Development

  • Research and recommend solutions (technical or otherwise) to problems as they arise in internal and external communications
  • Serve on project teams formed to develop new tools for the public website
  • Lead or assist with the development of business cases for new web projects

Qualifications

  • Diploma in multimedia/web site development/management or equivalent experience
  • Minimum 2 years experience in web content publishing and website management
  • Strong organizational skills, with demonstrated ability to juggle multiple assignments and deadlines
  • Detail-oriented
  • Strong communication skills (verbal/written)
  • Team player with good interpersonal skills
  • Intermediate to advanced proficiency in the following are required:
    • MS office, especially Word and PowerPoint
    • Adobe Acrobat Suite
    • Dreamweaver
    • Web authoring: HTML/XHTML, CSS
    • Image editing and formatting using software such as Freehand, Illustrator, Fireworks, Photoshop, or similar
    • FTP software
  • Working knowledge of web server administration
  • Experience with any of the following would be an asset: ASP, PHP, ColdFusion, JavaScript
